Job Description

Our client is looking to add an EA to the office in Garland, TX. This candidate will be under the direction of three C-suite Executives. The Executive Assistant provides responsible and confidential secretarial and administrative support services to the Company Executives and other levels of Management. This position requires discretion, initiative, and sound judgment as well as quality technical knowledge, the ability to provide a wide variety of executive secretarial duties, and skills to coordinate a high volume of administrative detail.

    Daily Duties include but are not limited to:

  • Provide dedicated support to senior leaders, taking personal responsibility to ensure that work is completed in a professional, well-organized, and timely manner.
  • Maintain calendar and schedules for Executives, schedule and plan meetings, assess and arrange for a meeting needs such as catering, logistics, and materials, calendar and meeting management is a key deliverable.
  • Make travel arrangements, develop and provide detailed itineraries to ensure Managers have information needed prior to travel.
  • Input and ensure accuracy and completeness of Travel & Entertainment expense reports for Managers in a timely manner.
  • Provide backup coverage to other admins on the team when needed (e.g. out sick, on vacation, etc.)
  • Provide other administrative and project management support for learning/training programs or other team projects
  • Manage the collection and archiving of critical team deliverables and online content; ensuring accuracy and visual organization of files
  • Create high-impact and creative presentations and ability to conceptualize and develop high impact PowerPoint presentations for executive-level audiences
  • Prepare special reports which may include spreadsheets with multiple calculations, data from various systems, etc.
  • Prepare and handle confidential personnel information
  • Interface appropriately with many internal and external senior executives
  • Prepare and maintain Purchase Card and budget spend each month
  • Manage, update and appropriately communicate departmental documents

  • Minimum Requirements

  • 6+ years advanced Administrative support experience

  • Critical Skills

  • Strong attention to detail
  • Aptitude to work with minimal supervision, set goals, create and implement action plans, and monitor progress towards goals
  • Advanced PowerPoint Skills, Word, Excel with the ability to quickly learn various in-house software applications
  • Ability to function well in a team environment, display professional maturity, and interact with all levels of management
  • Ability to handle extremely sensitive and business confidential information
  • Ability to work independently and within a team
  • Proactively work to organize, respond to needs and anticipate what is needed by the individual for whom she/he supports
  • Flexible and able to work under pressure to include tight deadlines and multiple projects with strong organizational skills including the ability to make clear and timely decisions
